Privacy Policy

Last updated: 2026-01-04

This Privacy Policy explains how KaxaPage (“we”, “us”, “our”) collects, uses, and shares personal data when you visit our website or interact with our service offerings (the “Service”).

This policy covers:

  • Website visitors (marketing site, waitlist, contact), and
  • Service users (if/when you use KaxaPage to manage incidents).

By using the Website or Service, you also agree to our Terms of Service.

1. What we collect

1.1 Information you provide

  • Contact information such as your email address (for example, when you join a waitlist, request access, or contact us).
  • Account information (if/when accounts are enabled): name, email, organization, and authentication details.
  • Support communications: the content you send us by email or via forms.

1.2 Information collected automatically

  • Basic usage data such as pages visited, referrer, device/browser type, approximate location derived from IP address, and timestamps.
  • Cookies and similar technologies for essential functionality and (if enabled and consented where required) analytics.

1.3 Customer Content (incident data)

If you use KaxaPage to store incident records, those records may contain personal data (for example, names, email addresses, or chat handles of responders). In that case, the customer organization typically acts as the data controller, and we act as a data processor for that Customer Content, processing it on behalf of the customer under their instructions.

2. How we use personal data

We use personal data to:

  • provide and operate the Website and Service;
  • respond to requests and support inquiries;
  • send product communications (for example, early access invitations or security notices);
  • maintain security, prevent abuse, and debug issues; and
  • improve the Website and Service (including analytics where enabled and permitted).

Where GDPR applies, we rely on one or more of the following legal bases:

  • Consent (for example, when you join a waitlist, and for non-essential cookies where required);
  • Contract (to provide the Service where you have an account or request access);
  • Legitimate interests (such as security, fraud prevention, and improving the Website/Service); and/or
  • Legal obligations (when required by law).

4. Sharing and disclosures

We may share personal data with:

  • Service providers (such as hosting, email delivery, analytics, and error monitoring) who process data on our behalf under appropriate contractual safeguards;
  • Legal authorities if required to comply with law, enforce terms, or protect rights and safety; and
  • Business transfers (for example, a merger, acquisition, or sale of assets), where permitted by law.

We do not sell personal data.

5. International transfers

If personal data is transferred outside the EEA/UK, we use appropriate safeguards (such as Standard Contractual Clauses) as required by applicable law.

6. Data retention

We retain personal data only as long as necessary for the purposes described in this policy, including:

  • Waitlist emails: until you unsubscribe or we determine the waitlist is no longer needed.
  • Account data (if enabled): while your account is active and as needed for legal, security, and operational purposes.
  • Logs: for security and reliability, typically for a limited period.

You may request deletion, subject to legal and operational requirements.

7. Your rights

Depending on your location, you may have rights to:

  • access, correct, or delete your personal data;
  • object to or restrict certain processing;
  • receive a copy of your data (portability); and
  • withdraw consent (where processing is based on consent).

To exercise your rights, contact us at hello@kaxapage.com.

8. Cookies

We may use cookies for:

  • essential website functionality; and
  • analytics (if enabled and consented where required).

You can control cookies through your browser settings. If you disable cookies, some parts of the site may not function properly.

9. Security

We implement reasonable technical and organizational measures designed to protect personal data. No method of transmission or storage is 100% secure.

10. Children’s privacy

The Website and Service are not intended for children under 13, and we do not knowingly collect personal data from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. If changes are material, we will provide reasonable notice. The “Last updated” date reflects the effective date.
